Position Overview

The Membership & Executive Services Manager plays a key role in supporting the South Dakota State Medical Association (SDSMA) by providing executive-level administrative support, strengthening physician membership, and ensuring exceptional member service. This position serves as the primary contact for members, affiliated organizations, and governing bodies, helping advance SDSMA’s mission and programs through professional leadership, effective communication, and strong organizational skills.

Key Responsibilities

Executive & Administrative Support

  • Provide direct administrative support to the CEO and office staff.
  • Manage scheduling, calendars, travel arrangements, agendas, and meeting minutes for SDSMA programs, meetings and events.
  • Coordinate day-to-day operations and provide support to the SDSMA Board of Directors, Policy Council, AMA Delegation, district medical societies, the Committee on Ethics and Judicial Affairs, specialty societies, and the South Dakota Medical Group Management Association (SDMGMA).

Membership Management & Engagement

  • Serve as the primary point of contact for members and affiliated organizations, ensuring a high level of responsiveness and service.
  • Manage membership renewals, maintain the membership database, and implement strategies for retention and growth.
  • Foster member engagement by promoting a sense of belonging and value in SDSMA’s programs and services.
  • Support membership initiatives for medical students and residents, including coordination with the USD Sanford School of Medicine and residency programs.

Events & Program Support

  • Oversee the successful planning and execution of association meetings and events, including conferences, board meetings, and special programs/committees.
  • Coordinate logistics such as scheduling, travel, and event materials.
  • Assist with signature programs, including the Doctor of the Day program at the State Capitol and medical student activities.
  • Manage and recruit participants for the SDSMA Physician Health Leadership Institute program

Qualifications

  • Bachelor’s degree required.
  • Minimum of 5 years of administrative support or membership management experience.
  • Demonstrated experience with customer relationship management (CRM) systems.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Exceptional communication and interpersonal skills, with a focus on customer service.
  • Self-motivated, results-oriented, and technically proficient.
  • Professional, ethical, and detail-oriented, with strong problem-solving abilities.

Compensation & Benefits

  • Competitive salary, commensurate with experience.
  • Standard weekday schedule (Monday–Friday, 8:00 a.m.–4:30 p.m.).
